Executive Assistant (Fully Remote) - 3 to 5 Years of Experience

We are seeking an experienced Executive Assistant to join our team and provide crucial support to our senior leadership. Position Overview
As an Executive Assistant at Sheffield, you will play a pivotal role in ensuring the
seamless operation of our founder and CEO. Your responsibilities will encompass managing
complex schedules, coordinating calendars, meetings, travel and handling various
administrative tasks. Your experience will be instrumental in maintaining efficient
communication and facilitating the achievement of strategic objectives.
Key Responsibilities
- Manage and maintain the executive’s professional and personal calendar, scheduling
appointments, virtual meetings, and conference calls across different time zones. - Coordinate and organize all logistics for virtual meetings, including preparing agendas,
distributing materials, and managing technical aspects. - Act as a central point of contact, filtering and prioritizing communication, emails, and messages for the executive to facilitate efficient decision-making.
- Assist in preparing reports, presentations, and documents, ensuring accuracy and attention to detail.
- Handle travel arrangements, accommodation bookings, and itineraries for remote executive team members.
- Collaborate with cross-functional teams to support projects, track action items, and ensure timely execution.
- Manage ad hoc projects as assigned.
- Organize team communications and plan events.
- Maintain confidentiality and handle sensitive information with the utmost discretion.
Qualifications and Experience:
- Bachelor’s degree or equivalent experience preferred.
- 3 to 5 years of proven experience as an Executive Assistant, preferably in a remote work
environment. - Proficient in using virtual collaboration tools such as video conferencing (Zoom,
Microsoft Teams, etc.), project management (Asana), and communication platforms
(Slack, OneDrive, etc.). - Exceptional organizational skills with the ability to manage multiple tasks and deadlines.
- Clear and concise written and verbal communication skills.
- Strong interpersonal skills and the ability to build new relationships.
- Ability to conduct research and present data in a succinct and well-written manner.
- Tech-savvy and proficient in Windows products (Outlook, Word, Excel, Powerpoint), and
adaptable to new technologies and software. - Demonstrated ability to work independently, proactively, and with professional discretion.
- High level of integrity and professionalism.
